The type of personal information we collect

We currently collect and process the following information:

  • Personal identifiers, contacts and characteristics (for example, name, address, previous employment, qualifications, records of any criminal convictions and such that is required to complete background checks)
  • To support background checks and ID verification, we also collect personally identifiable documents such as your Passport, Driver’s License, Biometric card details and documents like your bank statements, council tax statements, birth certificate, etc to prove that your identity
  • We will also collect data around your social media if such is requested by your employer
  • We only collect data to process the background checks, and the data collected is as dictated to by your organisation and the UK Government

How do we get personal information, and why do we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • You or your employer have asked us to complete a background check. A background check can include criminal checks, previous employer checks, address checks, qualifications checks, checks on credit history, directorships and social media

We also receive personal information indirectly from the following sources in the following scenarios:

  • Disclosure and Barring Services (DBS), which will provide us with your DBS certificate information
  • Results of your financial checks from credit rating agencies
  • Feedback from your previous employers confirming your role, length of service and suitability for the role
  • Confirmation from your educational establishments about the course, duration and results
  • Results from a check of directorships
  • Summary of your social media posts across platforms your employer asked us to check
  • The list is not exhaustive and will include data any other organisation has about you which your employer has asked us to check

We use the information that you have given us in order to start and complete the background checks.

We may share this information with you, your employer, your new employer, the recruitment company you are working with, 3rd parties which will conduct the required background checks like the Police, credit check agencies, social media companies or their agents who consolidate the different reports.

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are: 

(a) Your consent. You are able to remove your consent at any time. You can do this by contacting [email protected]

(b) We have a contractual obligation.

How we store your personal information

Your information is securely stored.

We keep all data collected for 12 months. We will then dispose of your information except your email, first and last name, and telephone number by securely purging them from our systems.

Your data protection rights

Under data protection law, you have rights including:

Your right of access – You have the right to ask us for copies of your personal information.

Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.

Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.

Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
